This Privacy Policy describes how Taelimi (“Taelimi,” “we,” “us,” or “our”) collects, uses, and protects information when you use our school management platform, including the website at www.taelimi.com, role-based web portals, and native mobile applications (collectively, the “Services”).

1. Who this policy applies to
Taelimi is designed for community-run weekend schools and similar educational programs. The Services are used by school administrators, teachers, parents, guardians, and other authorized staff. Student information is entered and managed by the school on behalf of families.
Each school using Taelimi is responsible for deciding who may access student records and for communicating its own practices to families. This policy explains how the platform handles information on behalf of participating schools.
2. Information we collect
Depending on your role and how your school uses the platform, we may process:
- Account information — name, email address, phone number, role (such as parent, teacher, or administrator), login credentials, and password-reset tokens.
- Student and family information — enrollment details, class assignments, attendance, grades, homework, report cards, emergency contacts, and medical or special-needs information when your school chooses to collect it.
- Communications — messages sent through school messaging features, announcements, and support requests submitted to your school or to us.
- Financial information — invoice and payment records. Card payments are processed by third-party payment providers (such as Stripe); we do not store full payment card numbers on our servers.
- Volunteer and event data — sign-ups, check-ins, and participation records for school activities.
- Device and usage information — IP address, browser or app version, device type, and log data needed to secure and operate the Services.
- Push notification tokens — when you enable notifications in our iOS apps, Apple provides a device token so we can deliver alerts about school messages, announcements, and account activity.
- Files you upload — documents, images, or attachments submitted through enrollment, messaging, or administrative workflows.
3. How we use information
We use collected information to:
- Provide, maintain, and improve the Services for your school
- Authenticate users and enforce role-based access controls
- Deliver school communications, notifications, and operational reports
- Process tuition, fees, donations, or other payments authorized by your school
- Respond to support requests and protect against fraud or misuse
- Comply with legal obligations and enforce our terms
We do not sell personal information. We do not use student data for third-party advertising.
4. How information is shared
Information may be shared in these limited circumstances:
- Within your school — authorized administrators, teachers, and staff access information according to their assigned roles.
- With parents and guardians — you may view information about your own children and school-related communications as permitted by your school.
- Service providers — trusted vendors that help us host infrastructure, send email, process payments, deliver push notifications, or provide analytics strictly needed to operate the Services. These providers are contractually required to protect data and use it only for the services they provide to us.
- Legal and safety — when required by law, to protect the rights and safety of users, or to respond to valid legal process.
- With your consent — when you or your school explicitly authorize a disclosure.
5. Children and student records
Student accounts and records are created and managed by the school, not by children directly. Schools should obtain appropriate consent from parents or guardians before collecting student information in Taelimi.
If you believe a child's information was submitted in error, contact your school administrator first. You may also contact us using the details in Section 12.
6. Mobile apps and push notifications
Our native iOS applications (Parent, Teacher, and Admin) connect to the same secure platform as the web portal. If you enable notifications, we store your device token to send school-related alerts. You can disable notifications at any time in iOS Settings.
Some payment flows may open a secure browser session (for example, Stripe Checkout) to complete a transaction. Those providers handle payment data under their own privacy policies.
7. Cookies and similar technologies
We use cookies and similar technologies to keep you signed in, remember preferences, protect against abuse, and understand how the Services are used. You can control cookies through your browser settings, but some features may not work correctly if essential cookies are disabled.
8. Data retention
We retain information for as long as your school uses the Services and as needed to provide functionality, meet legal obligations, resolve disputes, and enforce agreements. Schools may request export or deletion of data subject to applicable law and legitimate record-keeping requirements.
9. Security
We use administrative, technical, and organizational measures designed to protect information, including encrypted connections (HTTPS), access controls, and audit logging for sensitive actions. No method of transmission or storage is completely secure; please use a strong, unique password and sign out on shared devices.
10. Your choices and rights
Depending on where you live and your relationship with your school, you may have the right to:
- Access or update account information in your profile settings
- Request correction of inaccurate information through your school office
- Opt out of non-essential communications
- Disable push notifications on your device
- Request deletion of your account, subject to school and legal retention needs
For student records, your school is typically the first point of contact because it determines what data is collected and who may view it.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will revise the “Last updated” date above and, where appropriate, notify schools or display a notice in the Services.
